Miscellaneous - Vendor Service
The Miscellaneous page on the Vendor Service screen displays miscellaneous information about a vendor. On this page you can maintain the miscellaneous information about the vendor.
To update the Miscellaneous Vendor Service page, follow the steps below:
- Go to Maintenance > new world ERP Suite > Procurement > Vendor Service.
- If you are editing a vendor, locate and open an existing vendor record. Click the Edit button
on the menu bar of the Miscellaneous Vendor Service tab. The window opens on the Miscellaneous page.
- If you are creating a new vendor, click New. By default, the window opens on the General page.
- If you are editing a vendor, locate and open an existing vendor record. Click the Edit button
- To open the page if needed, click the gray Miscellaneous
icon at the top of the Vendor page. When the page is open, the Miscellaneous icon is in color
.
- Enter the necessary information in the fields listed below. Click Save to save this record or Save/New to save and create another vendor record. You may be prompted to provide a reason for the update if the Track Vendor Changes setting has been enabled by your organization's System Administrator.

- Select the W9 Compliance Date, which is the date on which the vendor submitted the W9 compliance information. This date is required if the W9 Letter Prompt check box is selected on the Vendor/Items tab of the Company Suite Settings page.
- Select the Default 1099 Type, which is type of 1099 Tax Form reporting for the vendor. This value is required if a value is entered in 1099 Box.
- In 1099 Box, enter the two-digit code that tells the system where to place the vendor’s financial information on the 1099 form. The number must be a whole number greater than 0 and less than 99.
- In 1099 Vendor Name, type the name that identifies the vendor on the 1099 form. The maximum character length is 65. If populated, this value defaults as the Recipient Name when 1099 data is created through Year-End Processing if the Primary 1099 check box on the Contacts page is not selected.
- In 1099 Doing Business As, type the DBA name related to an individual’s sole proprietorship business. The maximum character length is 65.
- Select a Grantee Type, if the vendor is a grantee. This field is enabled if your organization has a licensed copy of the Grant Accounting module from New World ERP. This field is populated with all entries in the Grantee Type validation set and a <blank> row.
- By default, the Enable eSuite Access check box is selected and gives vendors the ability to register and/or use their accounts in eSupplier. Clear this check box to prevent users from accessing their data in eSupplier.

- Select the Purchasing Card Provider check box if the vendor issues purchasing cards.
- Select a Default Merchant Vendor, which is the generic vendor to which one-time purchases should be associated.

When users add an AP invoice, the following information selected defaults on the invoice.
- Select a Freight Term to define the default term used when freight is charged on an invoice.
- Select an Invoice Term, which is the term that defaults when purchasing items from a vendor. The term determines the type of discount that is received and how long the discount is available.
- Select the Receipt of Goods Category, which is the classification of the vendor with respect to notification processing as Receipt of Goods transactions are processed.
- Select the Hold Payment Reason, which is the reason that the payment to the vendor is being held, if applicable. This field is visible based on the user-field level security defined.
- Select the Payment Sort Group Code, which is the code used to group vendor checks.
- Select the Default Expense Account, which is the account to which the invoice expenses will be recorded.
- Select the Separate Check check box to indicate that the vendor should receive a check separate from those issued in standard batch processing.

- Select the State to identify the tax to be paid (if any) to the state when financial transactions are made with the vendor.
- Select the County to identify the tax to be paid (if any) to the county when financial transactions are made with the vendor.
- Select the City/Local to identify the tax to be paid (if any) to the city or local authorities when financial transactions are made with the vendor.
